1. Services Provided

NovaAgency.AI provides one-time booking and follow-up system installations for established MedSpas.

Services may include:

Lead qualification before booking

Automated follow-up workflows

Booking confirmations and reminders

After-hours inquiry handling

No-show reduction logic

System handoff to the client’s front desk

NovaAgency.AI does not provide:

Marketing services

Advertising or traffic generation

Software subscriptions

Ongoing management unless explicitly agreed in writing

2. Eligibility

Services are offered only to:

Established MedSpas (12+ months in operation)

Clinics offering injectables, laser, or body services

Clients represented by an owner or authorized decision-maker

NovaAgency.AI reserves the right to decline service at its discretion.

3. Booking System Review & Deposit

The initial Booking System Review is 15–20 minutes

A $25 refundable deposit is required to confirm the booking

The deposit is refunded if the client attends

Missed calls without notice forfeit the deposit

4. Pricing & Payment

Core services are billed as one-time fees

Typical pricing ranges from $1,500–$2,500, depending on scope

Optional add-ons are billed separately

Payment is required before installation begins

All prices are exclusive of taxes unless stated otherwise.

5. Scope of Work

Each install has a defined scope agreed upon before work begins.

Not included unless explicitly purchased:

Unlimited revisions

Custom development

Ongoing optimization

Additional integrations

Staff training beyond handoff

Any work outside the agreed scope requires a separate paid add-on.

6. Delivery Timeline

Typical installation is completed within 48–72 hours after:

Payment is received

Required access and information are provided

Delays caused by missing access, delayed responses, or third-party tools are not the responsibility of NovaAgency.AI.

7. Client Responsibilities

The client agrees to:

Provide accurate information

Grant timely access to required systems

Ensure compliance with applicable laws (HIPAA, TCPA, etc.)

Use the installed system responsibly and ethically

NovaAgency.AI is not responsible for misuse of the system.

8. No Guarantees

NovaAgency.AI does not guarantee:

Revenue increases

Booking volume

Conversion rates

Reduced no-shows beyond system functionality

Outcomes depend on the client’s operations, staff, and lead quality.

9. Refund Policy

Booking System Review deposits are refundable only if attended

One-time install fees are non-refundable once work begins

Refunds are not issued for completed or partially completed installs

10. Intellectual Property

All systems, workflows, and configurations remain the intellectual property of NovaAgency.AI unless otherwise agreed in writing.

Clients receive the right to use the installed system for their own business operations.

11. Limitation of Liability

NovaAgency.AI shall not be liable for:

Lost revenue or profits

Missed appointments

Third-party platform outages

Indirect or consequential damages

Total liability is limited to the amount paid for the service.

12. Termination

NovaAgency.AI may terminate services if:

The client violates these terms

The client misrepresents their business

Required access or cooperation is not provided

Fees already paid are not refundable.

13. Governing Law

These Terms are governed by the laws of the United States, without regard to conflict of law principles.

14. Updates

NovaAgency.AI may update these Terms at any time.

Continued use of services constitutes acceptance of the updated Terms.
